Guest Services Supervisor (GSS)

$19.20 per hour (see Welcome Back Rate). Students will be paid 1 陆 times their rate for any hour worked over 48 in each pay period (7 days, Sunday to Saturday).

- Housng 鈥 We are pleased to offer our staff complimentary summer housing in a residence. Please note that the last night for all Staff accommodations is August 23, 2025. Any staff choosing not to reside in complementary student housing must resident no more than a 5-minute commute to Agricultural campus.
- On Call Stipend鈥 Since you will be on call during the summer and the use of your personal cell phone is expected, we offer you $860.00 at the end of your contract.
- Extra Hours 鈥 Additional shifts may be available during peak periods. Speak with your supervisor if interested
- Opportunity for Growth & Future Employment 鈥 Many students return for future summer and part-time work during the academic year. What your day will look like
As a Guest Services Supervisor (GSS) you will be a key player in managing the day-to-day operations of the Event & Conference Services team. You will oversee and support the Guest Services Associates (GSA鈥檚), provide leadership when full-time staff are off-site, and ensure seamless operations during evening and weekend hours.
The incumbent will be responsible for the following:
Operations & Supervision
- Lead day-to-day operations in collaboration with the Event & Conference Services Team
- Provide leadership and support to GSAs, ensuring processes and procedures are followed and addressing issues promptly and providing appropriate support.
- Act as the on-call supervisor during events and weekends, providing 24-7 operational support (when on call)
- Assist Conference Coordinator in payroll duties by ensuring schedules are completed in a timely manner and accurate schedule is reflected in Microsoft Teams
- Responsible for arranging last-minute shift coverage; if coverage cannot be secured, the assigned shift must be worked.
- Make-up guest rooms, as necessary.
- Work as a building attendant in meeting and event space, as necessary.
Guest Services & Client Relations
- Ensure pre-arrival requirements for conferences and summer clients are completed.
- Welcome and support conference groups upon arrival, addressing client needs and resolving concerns.
- Manage guest issues and escalate complex or safety matters to senior staff.
- Assist with Online Travel Agent (OTA) availability and customer service.
- Welcome clients and deliver exceptional customer service.
- Monitor department communication channels (email, phone, etc.), respond to inquiries and direct messages appropriately.
Administration & Reporting
- Assist Conference Coordinator with guest room inventory and ensure accommodations are prepared for guest arrival
- Collaborate & communicate with custodial team so rooms all are aware of bedroom status
- Manage reports for day-to-day operations: non-arrivals, non-departures, outstanding accounts, and housekeeping reports and present to appropriate parties
- Input and manage conference data, including room lists and special requests
- Create and assign meal plans on conference cards
Team Collaboration and Communication
- Coordinate with custodial team to maintain cleanliness and room readiness.
- Participate in weekly staff meetings when scheduled.
- Support housing facilities tasks such as room inventories, out of order rooms, reporting maintenance issues.
- Encourage and foster positive working relationships among colleagues
Social Media & Marketing
- Craft engaging social media campaigns and posts to boost our brand visibility and interaction. Work with Halifax Event & Conference Services team to schedule posts and ensure branding and goals are cohesive.
What you need to work for us
- You will be required to live in residence during the duration of your employment or within a 5-minute commute 鈥 must stay on campus for on-call shifts
- Ability to attend a paid 9-day training session held April 24 鈥 May 2, 2025 (dates are tentative, but will be confirmed prior to interview)
- Must be an active 麻豆传媒 Student with a minimum grade point average of 2.0.
- Ability to work independently and take initiative while adhering to established guidelines and protocols.
- Excellent communication skills, both oral and written.
- Exceptional customer service skills, with experience handling phone and in-person inquiries.
- Strong multi-tasking and organizational skills.
- Professionalism and discretion in handling confidential or stressful situations.
- Experience with managing financial transactions and account reconciliation.
- Ability to work both independently and in a team environment.
- Proven supervisory and/or leadership skills.
- Proficiency with Microsoft Word, Excel, SharePoint, and Teams.
- General knowledge of the Truro area and 麻豆传媒.
- Strong critical thinking and problem-solving skills.
- Previous experience in the hospitality industry a definite asset.
- Knowledge of 麻豆传媒 residence facilities an asset.
- Knowledge of KX Software is an asset.
- Knowledge of social media marketing is an asset.

What your day will look like
The Guest Services Associate plays an integral role in the efficient and effective day-to-day operations of the Event & Conference Services business. The incumbent will be responsible for the following:
Guest Services
- Facilitate check-in and check-out processes, including preparing invoices, issuing keys, and maintaining records using the Kx conference management database.
- Provide guests with accurate information about university policies, local directions, and available services.
Operations & Administration
- Maintain and print reports required through KX, such as arrival/departures, non-arrivals/non-departures, and housekeeping.
- Responsible for maintaining and balancing a cash float, which would include closing payment machine and reconcile shift report.
- Maintain security of the residence, including following sign-out procedures for keys and access cards.
- Guest room preparation.
- Facility set up.
- Building attendant responsibilities.
- Linen duties (making beds, transferring linens, laundering of towels, sorting of linen to go to outside company, collecting linens from outside company, exchanging clean and dirty linens with guests).
Collaboration & Flexibility
- Work closely with supervisors and custodial staff to ensure smooth operations.
- Assist with additional tasks as needed to support guest satisfaction and operational efficiency.

- Ability to attend a paid 5-day training session held April 24 - 30, 2025 (dates are tentative but will be confirmed prior to interview).
