Job Posting: Board Governance Assistant

The University Secretariat is the administrative office responsible for ensuring the effective and efficient operation of the Â鶹´«Ã½'s bicameral system of governance, comprised of the Board of Governors, the Senate and their respective committees. Reporting to the University Secretary, this position requires a significant ability to work independently, to handle matters on behalf of the University Secretary, and to anticipate, analyze and respond to the matters with little direction.

Key Responsibilities:

• Provide a high level of administrative and operational support for the University Secretary and Board of Governors, including coordinating meetings and materials of the Board and its committees, assistance in accurate and timely preparation (including drafting) of documents for Board and Committee use, responsibility for follow-up on action items.
• Assist the University Secretary and the Associate Secretary for Senate in maintaining the University Secretariat as the governance resource for the university. Maintain a sound working knowledge of university regulations, policies and procedures in order to independently liaise with Board and Committee members, and senior administrators. Assist in researching and preparing drafts of new or revised governance policies as required. Assume primary responsibility for maintaining the online University Policy Repository as a key University resource.
• Provide daily operational support for the University Secretary, Board of Governors, and in back-up capacity for the University Senate.
• Provide administrative and operational support for the Â鶹´«Ã½ Foundation (preparation of documentation and organization of Foundation meetings, and coordination of filing of annual report and financial statements).

NOTE:  Occasional evening hours required.

Qualifications:  Undergraduate degree preferred plus considerable related experience in office administration (or an equivalent combination of training and experience). Demonstrated understanding of confidentiality or prior experience working in a confidential setting is required. Strong writing skills, excellent interpersonal skills (tact and diplomacy), attention to detail, initiative and ability to manage changing priorities, and problem solving skills are required. Strong desktop computing skills (including web editing and MS Access) are also required. Experience in an academic environment preferred.

Salary Range:  $42,742 - $57,828 per annum (ADM-04, this position has a provisional rating; Human Resources will initiate a formal review approximately six months after hire.) This position is part of the Â鶹´«Ã½ Professional & Managerial Group (DPMG).
